Are you highly organised, thrive in fast-paced environments, and passionate about making a difference in people’s lives? We’re looking for an Administration Assistant to support our Operations team with essential behind-the-scenes tasks that help our services run smoothly.

Keystone Care Supports provide individual and group supports, STA/respite, personal care, community access activities and more. We are currently expanding the services we provide and are looking for our next superstar to inject innovation into the future development of the organisation.
As an Administration Assistant, you’ll work closely with the Operations Support & Scheduling Coordinator to ensure accurate data entry, timely communication, and well-maintained documentation that supports our frontline team and participants.
Key Responsibilities Include:
Enter and update shift and roster data in our scheduling system
Assist with preparing and distributing rosters and shift confirmations
Support shift approvals by checking timesheets, progress notes, and allowances
Respond to internal and external enquiries (phone, email, messages)
Assist with participant documentation such as intake forms and service agreements
Maintain organised records across systems and files
Escalate issues, risks, or compliance concerns to the appropriate team member
The successful applicant will:
Have strong administration and data entry skills with excellent attention to detail
Communicate clearly, professionally, and with empathy
Be able to manage multiple tasks and meet deadlines in a fast-paced environment
Be confident using IT systems — knowledge of ShiftCare is highly advantageous
Be a proactive, reliable team player who is eager to learn
Ideally have experience in disability services, the NDIS sector, or a similar field (preferred but not essential)
