About the role:
Clarity Partners is partnering with a well-established Civil Engineering company based in Western Australia. The company delivers reliable and high-quality solutions across roadworks, earthworks, and infrastructure projects, supported by a strong commitment to safety, efficiency, and teamwork.
We are seeking an Administration Assistant to provide vital support across office administration and human resources functions. You’ll be the first point of contact for inquiries, manage internal systems, coordinate staff onboarding and training, and handle essential office logistics that keep operations running smoothly.
Key Responsibilities:
- Direct incoming calls and emails to relevant departments
- Handle documentation for inductions, uniforms, and fieldworker applications
- Maintain and organise company files via Microsoft OneDrive
- Update company platforms and monitor reports from operational systems
- Take minutes during meetings and manage filing and mail
- Organise rosters, RDOs, travel, and accommodation
- Book and schedule employee courses and training
- Provide administrative support to accounts and procurement
- Raise purchase orders, process material orders, and perform data entry
- Assist with rejected invoices, report preparation, and general team support
About You
You're an organised, proactive, and commercially-minded professional who excels as the central point of contact in a fast-paced environment. You naturally take initiative, manage a wide variety of tasks with ease, and thrive on providing exceptional operational and administrative support.
You'll Bring:
- Proven Administrative Expertise: Demonstrated experience in a busy administrative role, ideally including exposure to HR/onboarding processes and working effectively within a project or construction setting.
- Exceptional Organisation: Outstanding time management and organisational skills, with an excellent attention to detail.
- Customer-Focused Communication: A professional, confident, and well-spoken manner both in person and on the telephone, with the ability to adjust your communication style for different audiences.
- Technical Proficiency: Strong working knowledge of Microsoft Office (Outlook, Word, Excel), experience with document management/onboarding platforms, and a minimum typing speed of 45 wpm.
- Adaptable Mindset: A positive approach to change, strong initiative, and the ability to work effectively under pressure while maintaining a professional and composed demeanour.
