Administration & Meetings Coordinator
Are you a highly organised and proactive administrator with a knack for coordinating meetings and capturing key outcomes? BNTAC is seeking an Administration and Meetings Coordinator to support our Executive Services team and broader organisation. This is a dynamic role that blends meetings coordination, administrative support, and stakeholder engagement in a culturally grounded not-for-profit environment.
Key Responsibilities
Plan and coordinate logistics for meetings, workshops, and internal events
Book venues, catering, travel, and AV equipment
Prepare and distribute meeting packs and agendas
Attend meetings to manage sign-in, support AV, and take accurate minutes
Maintain central calendars, spreadsheets, and reporting for allowances
Liaise with vendors and negotiate favourable terms
Provide general administrative support across departments
Manage and maintain the office environment
Support cross-team collaboration and cover during absences
About You
You’re detail-oriented, organised, and efficient, with a confident communication style and a friendly, can-do attitude. You’re happy to get involved across different areas of the business—providing meeting coordination, administrative support, and helping maintain a professional office environment.
Selection Criteria
Essential:
Experience in meeting coordination and administrative support
Strong minute-taking skills with a focus on accuracy and timeliness
Excellent organisational and time management abilities
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Ability to work independently and collaboratively
Strong interpersonal and communication skills
Current police clearance or willing to obtain
Willing to travel to the Pilbara annually for AGM
Unrestricted work rights in Australia.
Desirable:
Identify and are recognised as a Banjima Person
Current driving licence
