The role

Based in the Camden Head Office, this Operations Support Administrator position will report to a supportive Operations Manager who instils trust and will nurture the successful candidate. In the role, you will:

  • Assist the accounts team with end-of-month processes and compile project reports for divisional managers.
  • Reconcile company credit cards and employee expenses, and allocate expenses to the correct job number.
  • Raise purchase orders, collate documentation for sub-contractors, ensure SWMS documents are collected and attached to project files, and manage communication between key internal and external stakeholders.
  • Assist with the administration of OH&S policies and documentation.
  • Work with the Operations Manager and Warehouse Manager to manage stock records and ensure accurate inventory levels across all branches.
  • Review Quality Assurance reports and approve subcontractor invoices for processing.
  • Check job files and projects to ensure all assigned POs are correctly raised and allocated, and assist the Operations Manager and Accounts Receivable Officer in adjusting and amending records.
  • Assisting Accounts Payable/Receivable with data entry and reconciliation when required.
  • Manual document management and filing of paperwork for projects.
  • Provide exceptional customer service by addressing inquiries via phone, email, and in person.
  • Handle other administrative tasks as needed to support the operations and project delivery teams.

The requirements:

  • Previous experience in administration, accounts, or a related field, working for a commercial supplies company in the building and construction industry, will be highly regarded.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • High attention to detail and a commitment to accuracy when processing data into multiple systems.
  • Experience with inventory management and general accounting duties is an advantage.
  • Basic knowledge of accounting principles and experience with accounting software.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and adapt to a fast-paced environment.
  • Ability to work independently and hungry to learn new skills.
