The role
Based in the Camden Head Office, this Operations Support Administrator position will report to a supportive Operations Manager who instils trust and will nurture the successful candidate. In the role, you will:
- Assist the accounts team with end-of-month processes and compile project reports for divisional managers.
- Reconcile company credit cards and employee expenses, and allocate expenses to the correct job number.
- Raise purchase orders, collate documentation for sub-contractors, ensure SWMS documents are collected and attached to project files, and manage communication between key internal and external stakeholders.
- Assist with the administration of OH&S policies and documentation.
- Work with the Operations Manager and Warehouse Manager to manage stock records and ensure accurate inventory levels across all branches.
- Review Quality Assurance reports and approve subcontractor invoices for processing.
- Check job files and projects to ensure all assigned POs are correctly raised and allocated, and assist the Operations Manager and Accounts Receivable Officer in adjusting and amending records.
- Assisting Accounts Payable/Receivable with data entry and reconciliation when required.
- Manual document management and filing of paperwork for projects.
- Provide exceptional customer service by addressing inquiries via phone, email, and in person.
- Handle other administrative tasks as needed to support the operations and project delivery teams.
The requirements:
- Previous experience in administration, accounts, or a related field, working for a commercial supplies company in the building and construction industry, will be highly regarded.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- High attention to detail and a commitment to accuracy when processing data into multiple systems.
- Experience with inventory management and general accounting duties is an advantage.
- Basic knowledge of accounting principles and experience with accounting software.
- Strong organisational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and adapt to a fast-paced environment.
- Ability to work independently and hungry to learn new skills.
