We provide solution and energy efficiency consulting, system design and Project Management covering Engineering Procurement and Contruction as well as maintenance across all elements of process heat infrastructure. We also deliver specialist industry training to upskill operators in aspects of the processs plant.

The Job

As our Business Support Officer, you will play a critical role in supporting the Executive Team, Chair, Executive Assistant, and others in the senior leadership team. This role requires a highly capable and polished professional with experience in executive support, ideally with a background in legal secretariat or senior administration, and with a solid understanding of financial reports and bookkeeping fundamentals.

You will ensure the smooth operation of the executive offices, provide high level administrative support, and act as a trusted partner to leadership. This position will give you exposure to board level activities, governance, financial reporting, and executive communications, requiring exceptional judgement, confidentiality, and professionalism.

You will work closely with colleagues in Finance, Projects, Engineering, Service & Maintenance, and the Executive Suite to,

Manage diaries, meetings, travel, and stakeholder functions.

Prepare, proofread, and edit executive level documentation, including board papers, contracts, and reports.

Coordinate board meetings, take accurate minutes, and follow up on actions.

Support bookkeeping and financial processes, including reconciliations and reporting.

Provide support for compliance, audit, and governance requirements, ensuring business activities are completed in a compliant and timely manner.

Draft correspondence, presentations, and communications to a professional corporate standard.

Act as the first point of contact

Provide liaison and engagement with clients, board members, and external stakeholders.

Travel to company sites and regional offices from time to time to support executive and business operationsed.

The Requirement

To be successful in this position you will need.

Proven experience as an Executive Assistant, Legal Secretary, or Senior Administrator supporting executive leadership.

Strong financial acumen, with a clear understanding of bookkeeping processes and the difference between Balance Sheets and Profit & Loss.

Solid knowledge of compliance and governance requirements, with the ability to ensure processes and reporting are carried out accurately and in line with business standards.

Advanced administrative skills with the ability to manage multiple priorities under pressure.

Excellent drafting, proofreading, and document management skills with meticulous attention to detail.

Highly developed written and verbal communication skills, with professional presentation.

Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams), records management, and financial systems.

Exceptional organisational and time management capability, with initiative and discretion.

A polished, professional manner with the ability to build strong relationships at all levels.

Experience preparing newsletters, governance documents, minutes, and board papers the complete cycle.

A current driver’s licence, with flexibility to travel interstate and to other offices as required.

Qualifications in business administration, legal studies, or bookkeeping (desirable).

Qualifications in administration, bookkeeping, or accounting will be useful. A sound understanding of financial and business processes is advantageous.
