The Role:
Governance Support Officer is responsible for providing support to the Governance Division, Elected Members and Council staff. With a focus on a high level of customer service the role will assist with driving operational efficiencies and accuracy.
The Governance Support Officer is part of the Governance Team and will see you multi-tasking in this fast-paced environment, drawing on your high-level customer service skills and experience to deliver a high standard of work and customer service.
Key Responsibility
- Coordinate scheduling of Council/Committee meetings and related processes including Elected Member and public notification requirements.
- Ensure timely and accurate preparation and distribution of Council and Committee meeting notices, reports, agendas and minutes and any other associated documents, including follow up action of decisions.
- Maintain the use audio visual technology in the Council Chamber and provide training and support to staff in its use.
- Provide confidential and efficient Governance support, including managing diaries, screening and responding to enquiries, filing/records management and organising meeting requirements including, scheduling appointments, minute taking, coordinating catering, venues and travel (where relevant)
- Liaise with Elected Members including information provision, coordination of meetings/appointments and referral of matters to other staff for response where appropriate.
Skill & Competencies:
- High level customer service capability with a sound understanding of customer service principles and exhibit a proactive approach to resolving business issues.
- Experience in support for Committee meetings, including minute taking in a formal meeting.
- Efficient time management and organisational skills, capable of working under pressure and meeting deadlines in a setting with numerous competing priorities.
