Inigo is in search of a full time Administration Coordinator and Client Concierge with amazing inter-personal skills, a great work-ethic and a passion for the cosmetic industry to join our non-surgical leadership team.
At Inigo Cosmetic we are dedicated to providing a bespoke experience for each of our clients, delivering healthy, glowing, beautiful skin and bodies in a luxury environment. Our clinic encompasses a wide range of aesthetic services including advanced dermal therapy, cosmetic medicine, body sculpting, medical wellness and skin rejuvenation.
We are looking for an experienced, well presented and reliable administration coordinator who can commit to being with our clinic for the long term. The successful applicant will be someone with experience liaising with clients, coordinating staff, driving sales and organising workflow. The role is detail oriented with the opportunity to work closely with our non-surgical team to ensure an efficient admin workflow, as well as acting as a dedicated client concierge, providing a premium, individual experience for our clientele.
We are a close team which believes in providing a premium aesthetic experience. Client comfort and satisfaction is our number one goal and being the first point of contact, our Admin Coordinator will promote this philosophy in all aspects of their work.

The successful applicant will have:
At least 2 years reception / customer service experience essential, preferably in the medical / cosmetic / day spa / beauty therapy fields.
Experience managing or coordinating workplace staff and scheduling
Knowledge of the cosmetic industry would be highly regarded
Good grammar, spelling, arithmetics (minimum Grade 12 education)
Very good computer skills (fluent with Microsoft office, word, excel & Mailchimp)
Experience using clinic management software and Xero would be beneficial
Previous sales experience essential
Confidence using digital cameras and technology essential
Strong organisational and time management skills and attention to detail
The ability to learn quickly, work independently and perform tasks accurately
An outgoing, friendly nature and a lovely phone manner
Honesty and reliability essential
The role:
Admin coordinator - delegate tasks, organise schedules, ensure efficient daily workplace flow
Client concierge - ensure a seamless client experience, client communication, clinical photography (2D and 3D), prepare clients for advanced dermal treatments, set up clients on body contouring machines
Liaise with the Clinic manager to ensure all tasks are being completed to a high standard. Engage with staff and management to identify and monitor opportunities to increase revenue.
Reception duties as needed - answer phone enquiries, monitor emails and text enquiries, make patient bookings, greet patients, monitor and ensure patient flow, follow clinic protocols, filing, cashier / receipting / end of day accounts / banking
Oversee quotes for services
Maintain efficient scheduling and monitor waitlists/call lists
Oversee Stocktake and ordering
Manage online enquiries
Share in basic clinic cleaning tasks
