About the Role
We’re looking for a highly organised and detail-oriented Operations Administrator to support the logistics, inventory, and operational administration of our growing furniture business. This role suits someone who enjoys structure, thrives on efficiency, and takes pride in keeping systems and workflows running smoothly.
You’ll work closely with our warehouse, 3PL, and management teams to ensure the seamless coordination of stock movements, order fulfilment, and day-to-day operational processes.
Key Responsibilities
Administration & Coordination
Maintain accurate records across internal systems and shared documents.
Manage and update inventory data in Shopify and other operational platforms.
Assist with purchase order processing, supplier coordination, and stock tracking.
Prepare documentation such as manifests, packing lists, and inbound stock summaries.
Monitor email inboxes for operational requests and ensure timely follow-up.
Support process improvements to enhance efficiency and communication across teams.
General administrative support to warehouse and operations teams.
Logistics & Fulfilment
Coordinate inbound and outbound stock movements across warehouses and 3PL partners.
Book and track deliveries via Shippit and manage 3PL dispatch through Extensiv.
Liaise with warehouse teams to organise picking, packing, and dispatch schedules.
Generate and distribute picking slips, consignment notes, and shipping labels.
Oversee tailgate transport and special delivery arrangements for bulky items.
Investigate and resolve any stock or delivery discrepancies.
Assist with stocktakes and inventory audits to maintain data accuracy.
Outlet & Warehouse Support
Support the organisation and labelling of stock held at the Moorabbin Outlet.
Maintain stock presentation and assist with general operational upkeep.
Coordinate transfers between warehouse and Outlet locations.
Key Skills & Experience
Previous experience in logistics, warehouse coordination, or administrative operations (e-commerce or retail preferred).
Familiarity with Shopify, Shippit, and/or Extensiv highly regarded.
Strong organisational and time management skills.
Excellent attention to detail and ability to multitask effectively.
Clear communicator who can coordinate across teams and external partners.
Confident using spreadsheets and digital tools to maintain records and reports.
