Blue Horizon Migration is a small, fast-paced Registered Migration Agency based in Margaret River, assisting employers and individuals across Australia with skilled, business, family, and other visa matters. Our work involves detailed case preparation, high client service standards, and the careful management of complex documentation and digital systems.
We are looking for a Migration Administration Assistant who is organised, switched-on, and able to manage complex administrative work with accuracy and initiative.
You will work closely with the Principal Migration Specialist to keep client files moving efficiently and ensure every detail is correct.
Key responsibilities
Collect and review client documents and information
Set up new client files and maintain accurate records in our migration software
Prepare and edit visa and sponsorship applications and related documentation
Draft and format correspondence and forms (Word, Excel, PDF, including digital signatures)
Prepare and format documents using established templates, and build or refine templates by identifying, testing, and updating the linked data fields and source connections
Monitor timelines and follow up outstanding items
Handle all client information with strict confidentiality and in full compliance with the Migration Agents Code of Conduct and all related legal obligations
Manage email correspondence and document flow, maintain organised records, and assist with ongoing case management via Outlook and online portals
Take on feedback and adapt quickly to changing processes
About you
Minimum 3 years’ admin experience in a busy or highly regulated environment
Confident using multiple software systems and digital tools
Strong skills in Word, Excel, Outlook and PDF editing
Excellent written communication and attention to detail
Logical, self-motivated and able to prioritise effectively
Comfortable working independently and taking initiative
Able to accept feedback constructively and implement it immediately
Experience with migration software (e.g. Migration Manager, DMS, or similar) highly regarded
Committed to a long-term role and reliability within a small business environment
