DISTRIBUTION & ADMINISTRATION OFFICER

As our SCJ Distribution Officer, you will be responsible for the accurate and timely management of the distribution processes including receiving and dispatching stock, stock transfers between stores, issuing invoices, and acting as a key liaison between suppliers, stores, and the operations team. Your role will be crucial for maintaining stock integrity, minimising losses, and ensuring all stakeholders have the right products at the right time.
KEY RESPONSIBILITIES.
Invoicing and Stock Records
• Generate and manage invoices for all stock dispatched to stores.
• Record all incoming and outgoing stock movements accurately in the inventory system.
• Ensure pricing, SKU codes, and product descriptions are correct and consistent.
Receiving and Dispatching Stock
• Receive new stock deliveries from suppliers and verify against purchase orders.
• Inspect goods for quality and discrepancies; report and resolve any issues promptly.
• Prepare and package outgoing stock to stores with accuracy and care.
Stock Transfers and Logistics Coordination
• Coordinate inter-store stock transfers based on sales demand and store requests.
• Plan and liaise with courier services or internal logistics for efficient delivery timelines.
• Track shipments and confirm delivery completion with stores.
Communication and Stakeholder Liaison
• Communicate regularly with store managers regarding expected deliveries, urgent stock needs, and returns.
• Liaise with suppliers on order timelines, stock discrepancies, and quality issues.
• Work closely with the buying, operations, and customer service teams to ensure alignment.
Stock Integrity and Inventory Support
• Conduct regular stock audits and assist in end-of-month or quarterly stocktakes.
• Ensure the physical stock matches the system stock across all channels.
• Implement loss prevention measures during the stock handling process.

· Ability to manage database entries and administrative support
· Demonstrate a high level of interpersonal skills
· Ability to work as a positive team member in a busy environment
· Newcastle, on-site at our Kotara Head Office (essential)
