What you'll do:
As a Project Officer, you will immerse yourself in a dynamic environment where your ability to coordinate projects efficiently will be highly valued. Your day-to-day activities will involve close collaboration with stakeholders from various departments-paralegals, lawyers, knowledge counsellors-to gather information following successful cases. You will draft detailed reports based on these interactions which will then be utilised by both marketing and business development teams to create compelling campaigns aimed at winning new work. In addition to managing tenders and proposals from inception through submission, you will also play an integral role in organising events that foster deeper client connections. Your keen eye for detail will ensure all branded materials are up-to-date while your proactive approach helps streamline operational processes. By supporting digital projects alongside traditional marketing efforts, you'll contribute significantly to elevating the firm's profile in the marketplace.
- Prepare and coordinate tenders, proposals, credentials, capability statements, and submissions for legal directories and awards by gathering requirements from key stakeholders such as paralegals, lawyers, and knowledge counsellors.
- Manage and maintain comprehensive client data and integrated databases to produce actionable insights that directly support business development strategies.
- Coordinate a variety of client engagement activities including seminars, webinars, sponsorships, and firmwide events to strengthen relationships and promote the firm's expertise.
- Liaise proactively with industry associations to secure speaking opportunities for the firm's professionals while enhancing overall market visibility.
- Maintain and update branded materials, collateral, and expertise databases to ensure all communications reflect current capabilities and achievements.
- Support website enhancements and client interface projects by coordinating with external vendors and internal teams to deliver seamless digital experiences.
- Assist in preparing and distributing engaging market-facing content such as articles, podcasts, newsletters, and social media posts that showcase the firm's thought leadership.
- Provide essential project management and administrative support across multiple initiatives under the Markets & Knowledge as well as Operations plans.
- Oversee firmwide subscriptions to media outlets and other services ensuring timely renewals and effective utilisation.
- Maintain approved supplier and vendor lists while supporting compliance with sustainability standards and modern slavery requirements.
What you bring:
To excel as a Project Officer in this role, your background should include hands-on experience coordinating projects within a professional services environment-ideally involving business development or marketing functions. Your interpersonal skills will enable you to build rapport quickly with colleagues from different disciplines while maintaining clear lines of communication throughout each project phase. You bring an analytical approach when managing data or preparing reports which ensures accuracy as well as relevance for decision-making purposes. Your adaptability allows you to juggle competing priorities without compromising quality or timelines. Familiarity with digital platforms used for content creation or distribution is helpful but not required; what matters most is your willingness to learn new systems as needed. - Demonstrated organisational skills with proven experience managing multiple projects simultaneously while meeting tight deadlines in a professional services setting.
- Confidence in drafting high-quality tenders, pitches, proposals or similar documents with meticulous attention to detail.
- Excellent written and verbal communication abilities enabling you to engage effectively with both internal colleagues and external clients or partners.
- A proactive attitude combined with self-motivation; comfortable working independently yet equally adept at collaborating within cross-functional teams.
- Strong commitment to delivering outstanding client service coupled with confidence when interacting with stakeholders at all levels of seniority.
- Advanced proficiency in Microsoft Office applications; familiarity with tools such as Canva for design tasks or ClientSense/Mailchimp/WordPress for digital marketing is advantageous but not essential.
- A curious mindset paired with enthusiasm for continuous learning; open-mindedness towards new ideas or approaches within business development contexts.
- Experience supporting website updates or digital content distribution would be beneficial though not mandatory.
