The Opportunity

Physio Fitness is seeking a warm and welcoming Clinic Administrator / Receptionist to join our friendly team located in Bondi Junction.

Immediate start, which includes a period of shadowing for the first 2 weeks with the Practice Principal. We're looking for someone with genuine care for people who can accomplish multiple tasks while maintaining a high level of customer service. We are a well-established Physiotherapy and Sports Injury Clinic with a strong 17-year history in the heart of Bondi Junction. We specialise in the rehabilitation of injuries and surgery for the fitness enthusiast, endurance athlete and sports person, enabling them with a successful recovery and return to exercise. You must be renowned for a bubbly and proactive attitude, empathetic nature and your ability to build instant rapport with clientele, providing an excellent level of customer service both face-to-face and over the phone. You love to learn new systems and ways of doing things to enable you to work collaboratively with the team as well as autonomously throughout the day to ensure that every day runs efficiently and smoothly.

Your specific responsibilities:

Establish a positive and welcoming atmosphere for clients upon arrival.

Serve as the primary point of contact for clients, providing excellent customer service.

Coordinate and optimize appointment scheduling for Physiotherapists to ensure smooth clinic operations.

Process HICAPS and EFTPOS transactions accurately and promptly.

Maintain a clean and welcoming clinic environment, including treatment rooms.

Manage patient records through scanning, filing, and electronic systems.

Oversee laundry and linen management.

Handle patient invoicing, receipts, and financial transactions.

Track weekly clinic performance measures, insurance/workers compensation claims, and outstanding debts

Closely monitor clinic inventory and order stock when necessary

Manage incoming and outgoing medical correspondence.

Manage in-house e-commerce operations, including order processing, packing, and shipping.

Provide creative and administrative support to the Principal Physiotherapist where needed, including videography, editing and collaborative design.

Desirable criteria:

Experience in a healthcare setting or equivalent.

To ensure seamless clinic operations, availability to immediately is highly desired.

IT proficiency in Google Suite (Sheets, Docs, Drive).

Practice management software experience: Knowledge of industry-standard software, such as Gensolve, is advantageous.

Exceptional organizational and time management skills: Ability to prioritize tasks and meet deadlines effectively.

Attention to detail: Accuracy and precision in data entry and recordkeeping.
