Administration Support/Office All Rounder

4 ½ days a week in Birchgrove Wellness Clinic

AcuEnergetics® operates within the alternative health sector and has a Treatment and Wellness Clinic, located in beautiful Birchgrove. We are a small business looking for someone to become a valued member of our team who is highly organised, detail oriented with an approachable manner and experience managing a wide range of administration tasks. It’s a lovely place to work, surrounded by great people.

We are looking for someone to work in the clinic (non-hybrid) 4 ½ days a week with the possibility to increase hours in the future.

Role Description:

As a member of our team, you will play a vital role in ensuring the smooth operation of daily company life. Collaborating closely with our directors, practitioners, students and clients, you'll handle the day-to-day reception and administrative tasks, enhancing overall workplace efficiency and the satisfaction of our clients and customers.

Currently the expectation for in office hours is:

Monday 8.30am-12.30pm, Tuesday 8.30am-3pm, Wednesday 8.30am-3pm, Thursday 8.30am-3pm, Friday 8.30am-3pm

About The Role

Looking after the day to day operations of the clinic including:

Managing the Clinic Reception, for example:

Managing a busy diary for the practitioners who treat at the clinic

Taking payment for these appointments, both on the phone and in person

Confirming appointments via email / text

Greeting clients

Making sure the clinic looks presentable

Cashing up at the end of day, recording sales/payments, creating an invoice/receipt in Xero

Liaising with Practitioners:

Taking payment for room hire

Communicating procedures, changes, clinic updates when needed

Marketing assistance, for example:

Creating emails to send out via ActiveCampaign

Communicating with our students on our FaceBook page

Scheduling social media posts

Database assistance:

Adding customers and clients into our database

Workshop Enquiries and Administration, including:

Responding to phone calls, emails and web enquiries

Taking bookings/payment for workshops

Tracking payment plans

Preparing workshop notes and course materials for students

Assisting with postage of online orders and mail collection.

Key Requirements. The successful candidate should be:

An administration superstar, who enjoys getting things organised and is efficient and proactive.

Experienced in a similar role, ideally a clinic.

Highly organized, detail oriented and can multitask.

Able to work well autonomously and manage their own job list.

Able to communicate well – both written and verbally.

Confident and Friendly.

Happy to do what’s needed.

Comfortable using Microsoft Word, Excel, PowerPoint, Sharepoint, Xero to create a simple invoice (no bookkeeping).

Familiar with social media.

Happy to work in a small business environment.

Have an interest in alternative health.

Available 4 ½ days per week, Monday to Friday.

Someone who goes above and beyond what’s required.

You should be legally able to work in Australia and you’ll need to provide a tax file number.
