About the Role
2 year FTC - This position supports the operations of the Risk Education Express function. It involves the administration and co-ordination of tasks to ensure the efficient and effective execution of REX programs and to respond to customer queries. These activities require an attention to detail, the ability to prioritise tasks and manage time, and a customer service mindset.

Duties
Support REX operations
- Coordinate end to end program tasks including maintain the program master planner, adding events to the REX calendar and sending placeholder to facilitators, checking on attendance and ensuring participants have the relevant program information, sending final briefing information to facilitators, setting up the program evaluation and completing the summary evaluation report and maintaining attendance records.
- Booking, setting up and packing up training rooms for face-to-face programs, program material inventory management, printing and couriering program materials, as well as setup and monitoring technical issues for virtual events.
- Support the REX Team with ASP program delivery. This involves liaising with agencies to schedule programs, confirming program information with facilitators, copying and couriering program materials, arranging briefing calls, setting up the program evaluation and completing the summary evaluation report, and updating the master planners on post program statistics and procurement activities.
- Assist with delivery of the bi-annual REX open enrolment program schedule including all logistical, scheduling and procurement activities to set up all programs.
- Develop post program reports and adhoc reports upon request from agencies, CEM and other stake holders.
- Monitor the REX inbox and take phone calls. Provide timely responses to agency and stakeholder queries and undertake follow up actions.
REX Budget & Financials
- Provide essential administrative and coordination support to the team, helping to ensure project tasks and events are delivered efficiently and successfully.
- Support the REX team in in completing procurement activities including vendor engagement, quote management, creating purchase orders, payment of invoices, and managing approvals and accruals.
- Input expenditure as it occurs into the REX Budget Spreadsheet.
REX customer queries
- Manage the REX inbox and respond to phone queries, providing timely responses to customer queries including resolving issues with portal access and simple learning queries. Take responsibility for follow up actions including liaising with other members of the team and triaging more complex issues as required.
Stakeholder liaison
- Work collaboratively and build strong relationships with internal and external stakeholders such as facilitators, client engagement managers, external legal and claims providers, internal icare SME’s & agencies to plan and execute the delivery of REX programs.
Skills & Expertise
- Demonstrated experience in completing high volume, administrative activities, preferably in an L&D environment or in a role that also interacts with customers and suppliers.
- Experience in roles that include managing and inputting large quantities of data, ensuring attention to detail.
- Experience working in a broad range of corporate or government environments.
- Experience in administration for events-based roles.
