Position Overview
The Supply Chain Operations Officer ensures the compliant, efficient, and timely movement of pharmaceutical products across domestic and international supply chains. This role involves coordination with internal teams, CMOs, logistics providers, and regulatory bodies, with a strong focus on quality, compliance, and operational excellence. We operate in a virtual setup and offer remote working conditions, but would prefer the person to either be based in Perth, Western Australia in order ensure close alignment with our Perth based primary supplier, Quality Function and 3rd party operated distribution center.
Key Responsibilities
Domestic Order Management & Consignment Handling (AU)
· Daily sales order creation, batch allocation, picking, and invoicing.
· PO and Goods Issue Report reconciliation.
· Shipment tracking, confirmation, and proof-of-delivery follow-up.
· Management of stop-sale and sale-or-return stock, including Schedule 8 (S8) destruction.
· Damage claim logging, documentation, and investigation.
· Q-form records maintenance and IPC form monitoring for release.
· Batch Master Record creation.
· Open sales order review and RDD follow-up.
Export Operations
· Preparation of transport risk assessments.
· Coordination with forwarders and export documentation generation.
· Post-delivery data logger review, quality release sign-off, and sample returns.
· Freight cost requests, PO approvals, and AP matching.
· Coordination with overseas distributors, QPs, and regulators for compliance.
Logistics & Transport Coordination
· Verification of domestic/export transport lanes and supplier qualification.
· Inter-site stock transfers and logistics provider bookings.
· Management of temperature-controlled and cold chain shipments.
· Hazardous goods handling and DG documentation.
Inventory & Warehouse Management
· External inventory reconciliation at 3PLs.
· Pallet reconciliation and warehouse capacity management.
· Physical stock counts and variance reporting.
· Temperature mapping and storage condition monitoring.
Supplier & CMO Management
· Coordination with CMOs for production schedules.
· Monitoring supplier lead times and risks.
· Vendor performance reviews (OTIF, quality issues).
Required Certifications & Training
· TLI30321 Certificate III in Supply Chain Operations – Covers logistics, warehousing, inventory control, and transport safety.
· Certified Pharmaceutical Supply Chain Professional – Focuses on regulatory compliance, temperature-sensitive logistics, and global pharmaceutical standards.
· ISPE Academy Certificates (Recommended): GMP Refresher, GAMP® Essentials, Pharmaceutical Water Systems, Biopharmaceutical Essentials.
· Additional Training: Chain of Responsibility (CoR), Dangerous Goods Handling, Cold Chain Management, ERP System Training (e.g., SAP).
Qualifications & Skills
· Bachelor’s degree in Supply Chain, Logistics, Business, or related field.
· 2–5 years of experience in pharmaceutical supply chain operations.
· Strong understanding of TGA regulations, GDP, GMP, and cold chain logistics.
· Proficiency in ERP systems (e.g., SAP, Oracle, preferably Microsoft Dynamics).
· Excellent communication, analytical, and organizational skills.
