A well-established and growing provider of contract cleaning and construction support services is seeking an Operations Assistant to support its busy operations team in Queensland. The Role
As an Operations Assistant, you will provide vital support to the Operations Manager in the smooth running of day-to-day operations. This role covers administration, compliance, rostering, financial tracking, and resource coordination across multiple projects and sites.
It's a dynamic position suited to someone who thrives on organisation, problem-solving, and working across a range of operational tasks.
Key Responsibilities
Support the Operations Manager with operational planning, budgets, and reporting.
Coordinate workforce rosters, equipment scheduling, and project resources.
Process contractor payments, timesheets, and assist with invoicing.
Prepare project documentation (SWMS, SDS, policies, compliance portals such as Procore, Hammertech).
Facilitate onboarding and recruitment of employees and subcontractors.
Oversee fleet and equipment scheduling, maintenance, and compliance checks.
Manage supplier orders, inventory, warehouse operations, and travel arrangements.
Conduct operational audits, test-and-tag processes, and ensure WHS compliance.
Assist with project financial monitoring, KPI reviews, and cost-saving opportunities.
Build strong working relationships with supervisors, staff, contractors, and suppliers.
About You
We are looking for a proactive and detail-oriented professional with strong organisational and communication skills, who enjoys supporting a busy operations team.
Required:
Associate Degree (AQF Level 6) in Finance, Accounting, or Business Administration.
Minimum 3 years' experience in rostering workforce, scheduling equipment, project cost tracking, client invoicing, and reviewing timesheets.
Proficiency in Microsoft Office, particularly Excel, with strong computer literacy.
High numeracy skills, commercial acumen, and analytical thinking.
Excellent time management, organisation, and ability to prioritise tasks.
Strong initiative with problem-solving and multitasking abilities.
Exceptional written and verbal communication skills.
Ability to work independently and as part of a team, developing relationships with a wide range of stakeholders.
Driver's licence and valid White Card (QLD).
Ability to work occasional hours outside the standard schedule and 'go the extra mile' when needed.
Highly Desired:
Advanced Diploma (AQF Level 6) in Project Management, Building & Construction Management, or Business Administration.
Relevant planning experience in construction or construction services.
Comprehensive understanding of Construction Standards, WHS, and industry regulations.
Ability to prepare accurate estimates and quotations.
Current PPE and First Aid Certificate.
