We are looking for a driven and professional Contacts Administrator to join a Property and Investment company. The role requires a strong attention to detail. Someone who has strong knowledge in the construction industry and or finance industry with a can do attitude and a positive outlook, critical attention to detail and be very comfortable using technology including Google Suite, Monday.com, Adobe & Docusign.
Tasks & responsibilities:
- Ensure the clients are supported from their Expression of Interest through to the settlement of their land or off the plan purchase and beyond
- Ensure contracts are received in a timely manner and are delivered to clients with accuracy and correct instruction
- Vet all contracts in conjunction with the Property Acquisitions Department Sales Pack to ensure the correct property with all relevant inclusions and features have been adhered to and any variations are marked up
- To assist clients with understanding their contracts with a high attention to detail noting all key dates, relevant special conditions etc
- Ensure all executed contracts are received in a timely manner and are delivered to clients, finance specialists, solicitors, builders, agents etc with key dates and succinct details for the finance process to be facilitated
- Ensure all key dates and milestones are achieved and you are communicating efficiently to all relevant parties in a timely manner
- Liaise directly between the builders and clients financier for all relevant events including but not limited to land settlements
- Assist in the deposit payment process, communicating professionally with both internal and external parties to get payments made and deadlines met
- Update all internal systems throughout the process in real time so all relevant parties can easily be aware of the deals progress
- Analysing contract terms to identify potential risks and advise management
- The ability to analyse information & identify solutions
- Proactively track the performance, key milestones and dates of all contracts
- Proactively track, monitor and update finance due dates as well as land registrations
- Proactively track monitor and update settlements and deposits due
- Meet or exceed department specific company KPI's
- Establish, maintain, and nurture positive relationships with internal and external business stakeholders, affiliates, referral partners, builders, developers, and suppliers.
- Ad hoc duties as required within the scope of your role and abilities
