About the Role
We’re seeking an experienced Caretaking Portfolio Coordinator to join our Caretaking team on a 6-month contract, with a strong opportunity to extend.
This role is all about maintenance management and stakeholder communication. You will oversee a portfolio of residential schemes, ensuring maintenance is managed and closed out in a timely manner, while also meeting compliance and legislative requirements. Strong, proactive communication with committees, strata managers, and residents will be central to your success.
Working alongside our Caretaking Operations Support role, the Portfolio Coordinator brings industry experience to support daily operations, coordinate contractors, and strengthen relationships across the communities we manage.
As our business actively grows — with approximately four new complexes settling each year — this role ensures existing schemes are well cared for, enabling the Head of Caretaking to integrate new projects into the portfolio for high-level management.
Role Responsibilities
Manage maintenance across a portfolio of schemes, ensuring timely close-out of tasks.
Oversee compliance and legislative requirements inline with caretaking operations & agreements.
Coordinate contractors, monitor works, and ensure WHS and insurance standards are met.
Provide frequent, clear communication with committees, strata managers, and residents.
Conduct regular site visits, along with meeting committees.
Prepare regular, professional committee updates and reports.
Support the Caretaking Operations Support role with day-to-day queries.
Qualifications, Skills and Experience
Strong experience in maintenance management and contractor coordination.
Understanding of how maintenance integrates within body corporate / community schemes.
Experience in property, caretaking, body corporate, or facilities management.
Excellent stakeholder communication and relationship skills.
Highly organised with attention to detail and a proactive approach to problem solving.
Proficiency in property/maintenance management systems.
