Executive Assistant to Retail CEO
Location: Melbourne, VIC
Are you a highly organised and proactive Executive Assistant looking to support a dynamic and fast-paced retail CEO? This is an exciting opportunity to join a high-performing team in a trusted and pivotal role that directly supports the Retail CEO and leadership team across a diverse retail group.
About the Role
As the Executive Assistant to the Retail CEO, you will provide daily high-level executive support, ensuring seamless coordination across internal departments and external stakeholders. You will be the central point of communication, diary management, and event coordination, as well as a key driver in maintaining operational efficiency across the executive team.
You will also liaise with senior executives, external partners, and other EAs across the group. Your ability to anticipate needs, handle sensitive information with discretion, and juggle competing priorities will be critical to success in this role.
Key Responsibilities
- Full diary and inbox management for the Retail CEO
- Coordinating meetings and group calendars across executive and leadership teams
- Travel management including bookings, itineraries, and accommodation
- Preparation of reports, agendas, presentations, and board packs
- Planning and execution of team events, conferences, and leadership offsites
- Expense and budget reconciliation, including AMEX and monthly cost centre reporting
- Liaising with internal departments to ensure smooth communication flow
- Managing leave forms and plans for direct reports
- Supporting with documentation and internal approvals
- Ensuring compliance with internal policies and procedures
- Confidential handling of sensitive business matters
Skills & Experience
- Previous experience supporting C-suite executives or senior leadership
- Exceptional diary and time management skills
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication
- Ability to work independently and manage competing deadlines
- High attention to detail and organisational skills
- Strong interpersonal and relationship-building capabilities
- Ability to manage confidential information with integrity
- Demonstrated experience in event coordination and executive-level support
- Proactive, solutions-focused, and capable of anticipating executive needs
- Financial acumen in budget tracking and reconciliation is highly desirable
