We are seeking a highly organised and detail-oriented Project Administrator to support the delivery of projects from initial enquiry through to completion. Reporting to the Project Manager, you will ensure the sales and operations run smoothly by coordinating administrative functions, maintaining accurate records and providing project support.
Key Responsibilities
- Prepare initial project budgets and high-level cost estimates to support sales proposals
- Assist in developing project costing with creating scope of work packages, preparing pricing requests and collating subcontractor quotes
- Collaborate with sales, project managers and subcontractors to clarify scope, pricing assumptions and project requirements.
- Assist with onboarding new team members and contractors to projects.
- Provide day-to-day project support, including coordinating meetings, distributing reports, schedules, and meeting minutes, and liaising with internal teams, subcontractors, and stakeholders.
- Manage contracts and procurement activities, including: preparing, reviewing and administering head contracts, subcontracts, supplier agreements, purchase orders, variations, and RFIs.
- Maintain accurate project and contract records, including contract registers, insurances, licences, WHS documentation, and other compliance requirements.
Skills & Experience
- Previous experience in an administrative or project support role (construction, engineering, or related industry highly regarded).
- Strong organisational and time management skills with the ability to handle multiple priorities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); exposure to project management software would be highly desirable.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Strong analytical and problem-solving abilities.
Qualifications
- Degree in Construction Management, Quantity Surveying, Project Management or related field (desirable but not essential).
- On-the-job training or equivalent industry experience will be considered.
