The Role
We are seeking a Digital Operations and Bookings Coordinator to join our team on a full-time basis. This role blends traditional reception responsibilities with digital systems management, ensuring our bookings and patient flow run with maximum efficiency.
You will be responsible for optimising appointment scheduling, minimising cancellations and unfilled spots, and leveraging digital tools to support the smooth operation of the practice. You will also provide frontline reception support, welcoming patients, managing phone and email enquiries, and ensuring a seamless clinic experience.
Key Responsibilities
Manage patient bookings, reschedules, and cancellations to maximise clinic efficiency.
Implement and monitor digital strategies to reduce no-shows and fill last-minute appointment gaps.
Oversee online booking platforms, patient portals, and CRM systems.
Provide professional reception support including welcoming patients, answering calls, managing emails and enquiries, facilitating treatments, and processing payments.
Collaborate with clinical and administrative staff to ensure smooth daily operations.
Support clinic growth by managing online booking platforms and patient communications.
Help patients access our services by optimising digital workflows and enquiry management.
Support broader clinic growth by improving digital workflows and patient engagement processes.
About You
We are looking for a highly organised, tech-savvy individual who enjoys working in a fast-paced environment and interacting with patients. You will be comfortable balancing reception duties with behind-the-scenes operations.
Essential skills and qualities:
Strong IT skills or background with the ability to quickly learn new systems.
Previous experience in medical administration, bookings, or patient services an advantage.
Confidence in using online booking platforms, CRM software, and SMS/email systems.
Excellent communication and interpersonal skills with a patient-first approach.
Highly organised with strong attention to detail.
Ability to work independently and as part of a team.
Experience with Genie software highly regarded.
Salary
Salary range: $75,000 – $90,000 per annum plus superannuation, based on qualifications and experience.
Conditions of employment will be consistent with the Health Professionals and Support Services Award (HPSS Award).
