Your New Role
A fantastic opportunity for a Design Coordinator to ensure luxury homes are fully prepared for construction. Reporting to the Design Manager, the Design Coordinator is responsible for managing all activities required to prepare luxury homes for construction. This includes coordinating documentation, permits, contracts, and site readiness to ensure projects commence smoothly, on time, and to exacting standards. The role demands strong attention to detail, proactive stakeholder management, and seamless collaboration across internal teams and external partners.
Your Key Responsibilities
Manage all pre-construction documentation, including architectural, interior, structural, civil, and services.
Ensure constructability, accuracy, and regulatory compliance of drawings and schedules.
Coordinate external and internal documentation teams to meet project milestones.
Administer Preliminary Works Contracts, schedules, specifications, and relevant insurances.
Track progress through Pre-Construction Commencement Checklists and project management software.
Prepare and lodge planning/building permits, tree removal applications, performance solutions, crossovers, and related approvals.
Track authority lead times, maintain registers, and ensure regulatory compliance throughout the project.
Liaise with councils, surveyors, and building authorities to align approvals with project programs.
Coordinate demolition scope, permits, asset protection, and compliance documentation.
Source and manage service applications (PIC, NOA, temp power, water, sewer/electricity relocations).
Maintain updated services plans, demolition clearances, and compaction certificates.
Manage pool and landscape design approvals, engineering integration, permits, and compliance.
Maintain accurate client-approved records for landscaping and pool installations.
Provide timely updates to Project Managers, Estimators, and Site Teams.
Communicate proactively with internal and external stakeholders to meet project milestones.
Prepare monthly progress reports for review by Design Manager and GM.
Ensure all quality checklists are completed and uploaded to Document Management System.
Support OH&S compliance: monitor site diaries, site walks, subcontractor induction, and report unsafe conditions.
Contribute to zero LTIs, Worksafe improvement notices, and compliance breaches during pre-construction.
What You Need to Succeed
Diploma or Degree in Building Design, Architecture, or Construction Management.
3–5 years’ experience in documentation, drafting, or design coordination on luxury residential projects.
Strong knowledge of construction documentation processes, building regulations, and authority approvals.
Proficient in Microsoft Office, CAD/Revit, Procore, and Microsoft Projects.
Exceptional technical attention to detail, organisation, problem-solving, and communication skills.
