Ngadju Native Title Aboriginal Corporation RNTBC (NNTAC) is the Prescribed Body Corporate (PBC) for the Ngadju People of the Goldfields Region of Western Australia. The Ngadju Native Title determination is one of the largest in Australia.

About the Role:

We are seeking an experienced and highly organised Administration Officer to provide administrative support to the NNTAC Team. Reporting to the Executive & Member Services Manager, the ideal candidate will be able to handle a wide range of administrative tasks, in a fast paced environment.

Responsibilities:

Reception duties for the Perth Office including answering the telephone, responding to emails and greeting visitors whilst providing a warm and friendly demeanour.

Mail coordination including drop-off, collection, and sorting, ensuring timely delivery of all communications.

Manage the Board Room bookings, ensuring the board room is presentable and refreshments are offered to all visitors.

Manage and prioritise incoming requests and communications, ensuring timely responses and necessary follow-ups.

Maintain members and Corporation confidentiality.

Support the Executive & Member Services Manager with distributing communications to members when required.

Maintain and organise files, documents, and records, ensuring accuracy and confidentiality. Assist in drafting and proofreading documents as needed.

Support the Executive & Member Services Manager with Events and Travel Coordination.

Take minutes to meetings, ensuring accuracy and timely distribution.

Be available for periodic travel to country to attend meetings and events, as required.

Ensure facilities are kept at a high level of presentation, including boardroom, kitchen and other public areas.

Proactively establish, improve and maintain administrative processes where required.

Data entry for accounts payable/receivable.

Support the Finance/Payroll Manager when required.

Provision of administrative support to the wider NNTAC team as required.

Contribute to a culture that aligns with NNTAC’s values.

Adhere to NNTAC policies and procedures.

What We’re Looking For:

Essential Criteria

Minimum of three (3) years' experience in Office Administration

Demonstrated ability to work independently and as part of a team

Adaptable to change, with the ability to effectively coordinate tasks and balance competing priorities to meet critical deadlines.

Intercultural understanding through recognition and respect.

Demonstrated attention to detail, a professional attitude and ability to maintain confidentiality.

High standard of service delivery for internal and external stakeholders, management, and staff.

Proficiency in Microsoft Office Suite: Demonstrated experience and proficiency in using Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Ability to create, edit, and format documents, spreadsheets, and presentations efficiently.

Desirable Criteria

Previous experience working with Aboriginal or Torres Strait Islander People.

Experienced in non-profit organisations.
