About the role
We are seeking an experienced and highly organised Executive Assistant to provide comprehensive administrative support to the General Manager and Board of Directors of the Butchulla Native Title Aboriginal Corporation in Hervey Bay, QLD. This full-time role will be integral to the smooth running of the organisation and supporting the leadership team.
To perform this role, it is essential that the person is an Aboriginal or Torres Strait Islander person. It is therefore a genuine occupational requirement under section 25 of the Anti-Discrimination Act 1991 (QLD).
Position Overview
The Executive Assistant (EA) plays a critical role in the smooth and efficient operation of BNTAC - Butchulla Native Title Aboriginal Corporation. Reporting directly to the General Manager, this position has been created as a result of the growth of the organisation.
The EA will provide executive level support to the GM and the BNTAC Board of Directors, while also managing key organisation registers and contributing to internal systems, reporting and compliance. As a key member of the corporate services team (alongside the GM and Accounts Officer), the EA will embody professionalism, cultural sensitivity and a commitment to excellence in supporting BNTAC's mission to represent and serve the Butchulla people across their Native Title rights and responsibilities.
Essential Requirements:
Current Class C Driver's Licence
Blue Card or ability to obtain one
Flexible hours - after hours and weekend meetings
Executive level admin experience and governance support
Proficiency with MS Office, social media and document management
Key Responsibilities
Board & Governance Support
Prepare and distribute agendas, meeting papers and minutes for the BNTAC Board meetings, sub - committees and AGM/SGMs
Maintain a register of board resolutions and support compliance with CATSI Act and BNTAC's Rule Book
Coordinate logistics for Board meetings, including catering, travel arrangements and venue bookings
Liaise with all appointed committee members such as the Elders Committee etc where necessary
Executive Support to General Manager
Provide administrative support to the GM, including diary management and meeting coordination
Prepare briefing notes, track key deadlines and assist with stakeholder engagement
Support the GM in delivering the BNTAC's Strategic Plan through the agreed Strategic Action Plan and the annual Organisational Planning Days.
Support the GM in meeting all compliance and financial matters in response to operational targets and/or key milestones or quarterly performance goals
Corporate Registers and Internal Systems
Maintain and update the following registers:
complaints register
compliance register
asset register
policy and procedures register
critical incidents register
grants and contracts register
partner/ key contacts registers
quarterly reporting register
Elders Advisory Committee register
ILUA register
ALA Aboriginal Land Act register

Selection Criteria:
Demonstrated Executive-level admin experience and governance support (manage calendars, schedule and coordination of meetings, filter incoming contacts/requests)
High level professionalism, discretion and reliability
Able to manage priorities independently
Strong understanding of Board governance and protocols
Strong communication, written and organisational skills
Strong interpersonal skills
Proficiency with MS Office, Social Media and document management
Cultural competency with First Nations communities.
Desirable:
Experience in Native Title, Aboriginal Corporations
Familiarity with WordPress or website CMS
