About the role

Are you looking to grow your career as an EA? Whether you’ve just left school or have initial EA experience, QTAC is looking for a productive, self-motivated, and highly organised individual to be its next Executive Administration Officer. Can you play a pivotal role in providing high-level administrative support to the executive leadership team and act as the Executive Assistant to the Chief Executive Officer (CEO), all while being a positive contributor to QTAC’s workplace culture? This role requires a proactive, organised, and detail-oriented individual who gets excited about inbox management, calendar Tetris, meticulous note-taking, and being an indispensable right hand to QTAC’s Executive team. To be successful in obtaining the role, you should demonstrate you can effectively:

Manage complex schedules

Coordinate meetings

Liaise with stakeholders at all levels

Clearly and succinctly communicate on behalf of Executive leaders

The Executive Administration Officer will handle confidential information with discretion, assist with strategic initiatives, and act as a liaison between the executive team and other departments.

Key Responsibilities

Provide executive-level administrative support to the CEO and executive leadership team

Manage complex and dynamic diaries, schedules, and travel arrangements

Prepare correspondence, reports, and presentations to a high standard

Coordinate meetings, including agenda preparation, minutes, and follow-up actions

Manage and oversee the office maintenance

Coordinate catering and set up for meetings, training sessions and events as required

Assist with health, safety and workplace compliance requirements as needed

Assist with the execution of strategic initiatives and projects

Act as a central communication point between the executive team and the broader organisation

Maintain confidentiality and discretion in handling sensitive information

Skills & Experience

Demonstrated experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role

Strong organisational and time-management skills with the ability to prioritise competing demands

Excellent written and verbal communication skills

Professional presentation in representing the CEO

High level of proficiency in Microsoft Office Suite and other relevant software

Strong attention to detail and problem-solving abilities

Professionalism, discretion, and the ability to handle sensitive and confidential information

Ability to work independently and as part of a collaborative team
