The Role:
We’re seeking an Executive Assistant to support the Managing Director in a highly operational and administrative role that touches every part of the business. This is a role for someone who loves variety, thrives in a busy environment, and takes genuine satisfaction from getting things done. No two days are ever the same – you’ll be across travel bookings, meeting agendas, HR coordination, IT setups, financial tracking, event logistics, and more.
What you’ll be doing:
- Managing the MD’s calendar, travel, and meeting agendas – ensuring all pre-reads, reports, and follow-ups are complete.
- Coordinating with the Finance, Sales and Marketing teams to consolidate information, analytics, documents, and communications.
- Supporting business operations – from onboarding new starters and maintaining HR records, to supplier contracts, IT, and Telstra accounts.
- Handling project admin – from sales commission tracking, consultant charges, and expense reconciliation, through to sourcing AV equipment or organising exhibition logistics.
- Preparing presentations, board documents, and internal communications with accuracy and flair.
- Acting as the go-to support for both business and personal tasks, helping keep the MD’s world running smoothly.
Skills and Experience
We're looking for a proactive, motivated “doer” who takes ownership and loves ticking things off the list. With strong administration and organisational skills, you'll have the ability to manage competing priorities, high attention to detail and a knack for anticipating needs before they arise. An experienced EA, ideally within a design-driven or product based environment, you'll be a confident communicator who can liaise across teams, suppliers, and international partners. You'll also be completely comfortable rolling up your sleeves and getting involved in everything from drafting reports, to booking flights, to arranging IT set-ups. Strong MS Office skills a must.
