We are seeking a highly organised and proactive Office Manager to join our team on a part-time basis. The successful candidate will be responsible for a variety of tasks to ensure the smooth and efficient operation of our office.
Work Hours: 3 days per week, 8 hours per day (including a 30-minute break). Monday, Tuesday and Wednesday.
Key Responsibilities:
Finance & Reporting
Oversee and manage all financial accounts, including invoicing, processing payments, credits, overdue accounts, and generating comprehensive reports using Xero.
Prepare and deliver sales reports each season.
Support accounts payable/receivable processing.
Track and maintain invoices and contracts
Office Operations & Administration
Oversee office administration, including supplies and mail
Maintain well-organised filing systems.
Schedule meetings and manage calendars.
Coordinate occasional seasonal showings.
Assist with boutique operations on when needed.
Retail & Inventory Support
Consolidate all seasonal store orders into a comprehensive document to the Head Designer.
Maintain up-to-date data entry related to sales commissions. Oversee and manage all emails with national and international agent.
Assist with wholesale and retail order dispatch and return processing
Liaise with warehousing and logistics providers to track inventory and delivery timelines
Ensure the warehouse and store areas are consistently well-maintained and organised.
Marketing & E-commerce Administration
Maintain and update the company website, ensuring detailed and accurate product information.
Coordinate influencer or PR product dispatches
Assist with inventory uploads, website updates, or basic customer database support
Support e-commerce and marketing.
Key Skills & Competencies
Minimum 2-3 years' experience in office management or administration (ideally in fashion, retail, or creative industries).
Familiarity with Microsoft Office, Google Workspace, and financial or inventory systems (e.g., Xero, Shopify)
Highly organised with the ability to prioritise tasks independently
Strong communication skills and a positive, can-do attitude
Experience with accounts payable/receivable, invoicing, and financial reporting processes
Ability to work collaboratively in a small team
Discreet, reliable, and detail-oriented
Must have the right to work in Australia
