About the business
We are a well established specialist practice in the Sydney with rooms in the CBD and Westmead, servicing the need of patients with a variety of allergic and immunologic disorders.
About the role
Part time: 3-4 days per week.
Site: 3-4 days/week in Macquarie St, Sydney CBD.
You will be involved in medical administration and daily front of house duties at our rooms, including patient greeting, appointment making, patient billing and liaising with specialists as needed.

Selection Criteria
• Excellent personal communication skills with an ability to relate to people at different levels and from different backgrounds.
• Excellent organisational skills, with attention to detail.
• Ability to work in a team.
• Dedication, professionalism and competence in your key role in patient management.
• Ability to maintain patient privacy and confidentiality at all times.
• Experience in using office systems such as filing and banking.
• Basic word processing skills.
• IT skills and/or experience with Clinic to Cloud practice management software.
• Minimum 3 years specialist secretarial experience essential.
Duties and Responsibilities
• Exercise confidentiality in regard to patient care and all aspects of the practice.
• Greet patients and other callers at the practice in a courteous and efficient manner.
• Keep patients informed of any delays.
• Deal with referring doctors and hospital staff courteously and helpfully.
• Answer the telephone promptly and courteously.
• Record messages and make sure they are attended to and brought to the attention of the relevant person.
• Make outgoing phone calls as requested.
• Manage daily correspondence.
Appointments
• Arrange appointments for patients.
• Checking in patients on arrival.
• Update any information on patient medical records.
• Obtain appropriate details from new patients to maintain the patient database.
• Scan records for files and file medical records after use.
• Organise pathology records for checking, response and filing.
Finances
• Advise patients of the credit or billing policy of the practice.
• Issue patient invoices and receipts.
• Perform daily banking and reconciliation.
• Attend to account queries (if possible) or refer problem to others if in doubt.
• Follow up bad debts.
Other
• Typing of patient letters
• File and post all correspondence, including letters to referring doctors
• Attend to routine cleaning and stocking requirements; ensure all furniture and equipment is clean and tidy.
• Order stationery supplies when needed.
• Report accidents, injuries and illnesses.
• Deal with emergencies when necessary, following set procedures.
