About the role

The Business Administration Officer assists in supporting the Statutory Planning Business Unit to align with the organisational objectives outlined within the City of Swan Strategic Community Plan. By delivering efficient, timely and precise planning and business support services, the position ensures adherence to established business processes and regulatory obligations within the Planning Legislative Framework.

Key Accountabilities include, but are not limited to;

  • Administer and release of planning-related documents including planning approvals, endorsed plans, mailing lists, and other associated records, ensuring compliance with relevant legislation, policies, and privacy requirements, and delivering timely and accurate information to internal and external stakeholders.
  • Support for Referrals, Advertising, and Public Consultation: Administer the public consultation & various registers, including the registration, maintenance, and acknowledgement of submissions and notifications.
  • Financial and Payment Processing: Process Statutory Planning payments and refunds, including issuing invoices and receipts, ensuring accuracy and compliance with financial procedures.
  • General Administrative Duties: Perform routine administrative tasks such as photocopying, preparing letters, distributing correspondence, and responding to basic planning-related enquiries. Provide job-sharing support within the Business Support team when necessary.
  • Administrative Support for Planning Applications: Provide direct support in the scanning, validation, registration, lodgement, processing, and maintenance of planning applications, referrals, further information requests, notices, and determinations. Assist in verifying and maintaining property records to ensure accurate linkage of planning determinations to current and historical properties.
  • Continuous Improvement and Relief Support: Assist in the development and implementation of improved administrative procedures and practices. Provide overflow administrative support to the Business Unit as required and act in the Business Support Officer role when necessary.

About you

The successful candidate will have the following:

  • Certificate III or above in Local Government (Planning and Building) or Business Administration or related field, or completion of accredited/industry-based training courses or relevant work experience equivalent to the Level in Business Administration
  • Demonstrated computing proficiency with basic to intermediate skills in the use Microsoft Office suite products in word processing, formatting and excel spreadsheets and document management
  • Proven ability to prioritise work and meet multiple deadlines while working under pressure
  • Current ‘C’ Class Drivers Licence
  • A satisfactory National Police Certificate is required.
