We are seeking an experienced and driven Office Administrator to oversee and streamline our office operations. In this pivotal role, you’ll be the key point of contact ensuring projects run efficiently, documentation is handled with precision, and clients receive an exceptional experience.
This is not an entry-level position. We are looking for someone with proven experience in a manufacturing, construction, or fabrication environment — someone who thrives on organisation, accuracy, and forward planning.

Key Responsibilities
Manage day-to-day office operations, supporting the Director, and Management team
Answer phones, handle enquiries, and manage communication via email.
Oversee and manage procurement of materials, consumables, and job-related supplies
Create and maintain job records and project data
Coordinate inductions, compliance documentation, and certificates
Prepare SWMS, reports, quotes, formatted documents, and other key project paperwork
Conduct costing comparisons and financial analysis across suppliers
Support payroll manager, including timesheet confirmations, leave requests, and approvals
Assist with mailing lists, and database management
Organise internal folders and job files (SharePoint), maintaining high administrative standards
Attend team meetings, prepare reports, and provide support to Managers
Develop and maintain key registers, warranty manuals, and compliance records
Build and refine an office administration manual and step-by-step processes
What We’re Looking For
5+ years’ experience in a similar office administration/office management role
Previous experience in trades, construction, steel fabrication, manufacturing or windows and doors industry (essential)
Strong background in job scheduling and project coordination
Excellent phone manner and written communication skills
High-level organisational skills with the ability to prioritise and manage workload independently
Confidence managing compliance documentation and reporting requirements
Proficiency in Microsoft Office 365 (Word, Excel, Outlook) and XERO
A proactive, solutions-focused mindset and the ability to take initiative
Great communicator and confident to speak to management and keeping them on task

You do not have hands-on experience using Microsoft Office
You are not confident managing phones and high-level daily administration tasks and communicating with employees
You are looking for an entry-level role — this position requires leadership and ownership
