About the role
$85,000 per annum, plus 12% superannuation and leave loading
Initial 12-month, fixed-term position.
Full-time, 38 hours
Clinic open, Monday – Saturday 7:00am – 7:00pm
Reporting to the Health Clinic Manager, the Health Administration Officer (HAO) plays a vital role in supporting the smooth and efficient running of healthcare services. HAOs are responsible for a range of administrative tasks that ensure patients, staff, and services are well-supported.
About the successful applicant
To be successful in this role, you will:
Selection Criteria:
Schedule appointments, manage waiting lists, coordinate patient admissions and discharges, and process referrals efficiently.
Perform a range of administrative tasks, including typing, filing, scanning, photocopying, and managing incoming and outgoing mail.
Accurately maintain patient demographics, medical information, and health fund details within clinical computer systems.
Monitor and order non-clinical supplies, maintain adequate stationery stock, and support the smooth day-to-day running of the office.
Serve as a key point of contact for patients, families, visitors, and staff—responding to inquiries with professionalism, care, and a patient-first mindset.
Manage phone calls and emails, prepare agendas and take minutes for meetings, and distribute internal and external correspondence.
Work across a variety of healthcare environments, including public and private hospitals, general practices, specialist clinics, allied health services, aged care facilities, and community health settings.
Demonstrate clear, professional verbal and written communication to engage effectively with patients, colleagues, and healthcare professionals.
Manage a busy workload, meet deadlines, and prioritise tasks in a fast-paced healthcare environment.
Confidently use clinical systems (e.g. EMR, Medicare billing tools), office software, and data entry applications.
Show a warm, patient-centred approach with empathy, patience, and a commitment to providing a positive experience.
Maintain a high level of accuracy in all data entry, record-keeping, and administrative documentation.
Work collaboratively as part of a multidisciplinary healthcare team.
Mandatory Requirements:
Current Working with Children Check – Blue Card
5+ years’ experience in similar role
Full open Australian driver’s license
