About Us
AIS Immigration Solutions is a specialist migration consultancy committed to providing expert advice and tailored solutions for individuals, families, and businesses navigating Australia’s immigration system. As we expand, we are seeking an experienced Office Manager with knowledge of the industry to support our operations and contribute to client service excellence (this is advantageous for the role). This is a full-time role working at least 38 hours per week.
About the Role
The Office Manager will be responsible for managing office operations, administrative systems, and supporting our migration agents and team. Below are the key responsibilities required for this role.
Key Responsibilities
Manage and coordinate client communications, appointment scheduling, and follow-ups to ensure high service standards
Oversee daily office operations, ensuring efficiency across administrative systems and workflows
Maintain accurate and confidential client records and databases
Assist with HR and payroll administration, staff onboarding, and timesheet management
Support the management team with operational reporting and compliance monitoring
Coordinate office supplies, technology, and maintenance needs
Organise internal meetings, training, and client events
Key Requirements
Has at least 1 year of experience as an Office Manager or Senior Administrator, preferably within the migration, legal, or professional services industry.
Must have related qualification of at least Diploma or higher
Strong understanding of confidentiality, data privacy, and regulatory compliance.
Excellent organisational and multitasking skills with strong attention to detail.
Professional communication and interpersonal skills.
Proficiency in MS Office and familiarity with migration management systems (e.g., Migration Manager, and CRMs).
Ability to work independently, prioritise tasks, and take initiative.
