What's the role?

The Events Support Officer provides essential clerical and administrative support to ensure the smooth operation of event-related functions at Scouts WA Head Office, which is key to enhancing growth and community impact. Operating under regular supervision, this role assists with event-related communication and enquiries, data entry and processing, and logistical aspects to ensure the high-quality standards of the organisation are consistently met. Through effective communication, reliable workload management, and a collaborative spirit, the Support Officer contributes to a positive experience for our event services.

What is the scope of responsibility?

Administrative and Logistical Support

Assist in the registration process for events.

Maintain and report on event attendance and engagement metrics including participant feedback.

Update and maintain event-related entries into organisational systems within set deadlines.

Handle logistical bookings and the pick-up and return of event-related equipment.

Assist in scheduling and coordinating logistical details with vendors and venue managers.

Support with other event-related activities and practices as required.

Community Engagement and Communication

Directly handle enquiries regarding event details, registration processes, and other related queries.

Help with developing and distributing pre-event informational packets to participants.

Utilise various communication channels to disseminate information and updates about upcoming events as directed.

Build and maintain positive relationships with members and key stakeholders to support greater community outcomes.

What skills and knowledge are essential to perform the role effectively?

Customer service skills to handle and resolve enquiries with professionalism and courtesy.

Communication skills to deliver clear and attentive information verbally and in writing.

Computing literacy, including familiarity with office software (Word, Excel), email, and other technology tools.

Data management knowledge to handle data accurately and ensure data integrity.

Organisation qualities to handle multiple tasks efficiently and effectively.

Capability to move equipment between different locations: Physical fitness beneficial and driver’s license essential.

Developing knowledge of regulatory compliance, data protection, and legal requirements.

Understanding of events planning and management systems is beneficial.

Familiarity with the Scouting movement is beneficial.

What expertise is necessary?

An appropriate certificate relevant to the work required to be performed; or

Previous experience in a relevant industry, service or an equivalent level of expertise and experience to undertake the range of activities required; or

Appropriate on-the-job training and relevant experience; or

Entry point for a diploma with limited experience.

Work a flexible roster, including occasional early mornings, evenings, and weekends as reasonable and required.
