Administration Officer

Salary: $ 35 per hour + super

Permanent part-time: 20 – 24 hours per week (Monday – Friday) or as required by the Venue Manager having regard to business activities.

About Tompkins (Tompkins Park Community and Recreational Association)

Tompkins is an Association for the promotion and support of recreational, social, sporting, cultural and community members within the City of Melville and adjoining areas. The Association has some five thousand (5,000) plus members who comprise members of affiliate and associate sporting clubs, as well as the wider community.

Tompkins is a not-for-profit organisation which was formed in 1998.

Tompkins currently operates a club bar, restaurant facilities and hosts functions and events from its various function rooms.

About the role

The Administration Officer is a key member of the ‘Tompkins’ team who will work closely with Venue Manager to ensure that accurate financial and payroll records are maintained, undertakes compliance activities, administrative tasks as required and is responsible for maintaining membership records.

Reporting to the Venue Manager, your duties will include, but are not limited to:

Financial and payroll:

Lead and manage tasks including accounts receivable, accounts payable, payroll functions, bank transactions processing and reconciliation including BEPOZ and SQUARE point of sale systems.

Calculation of Bar Rebates to Affiliate Clubs and Associate Clubs and processing on approval by the Venue Manager.

Maintain and produce monthly P&L and balance sheet reports with appropriate commentary on movements versus budget and prepare the monthly BAS returns for lodgement.

Maintain and reconcile fixed asset register.

Perform general accounting duties as required including assist the Auditor to complete its annual audit and assurance within the prescribed period.

Work with the Venue Manager in ensuring an effective cost-efficient approach is used to within business activities.

Membership Tasks:

Maintain Membership records and ensure that Affiliate Clubs, Associate Clubs, and wider membership annual subscriptions are collected (& BEPOZ records are maintained current).

Ensure that Affiliate Clubs and Associate Clubs provide their membership lists as per their individual Club Membership Agreements.

Assist the Venue Manager in carrying out an annual Quality and Performance survey of members to seek feedback on the operations of Tompkins Park.

Administrative Tasks:

Prepare employment Contracts for all casual staff under direction of the Venue Manager.

Prepare Annual Information Report for the Department of Mines, Industry and Safety Regulations (DMIRS) each financial year by the due date of 30 September each year.

Prepare Annual Information Report for the City of Melville (our landlord) each financial year by the due date of 30 September each year.

Prepare Annual Insurance Renewal with our brokers Wood Insurance Brokers to maintain appropriate levels of insurances with renewals due 30 June annually.

Build rapport with members and other stakeholders

Develop positive relationships with stakeholders and the community.

Qualifications, Skills & Experience

The Administration Officer will have:

• Minimum qualification of Certificate IV in Accounting and it is desirable that a Diploma in Management is held.

• Minimum work experience of at least 3 years in a comparable Administrative Officer role.

• Proficiency in XERO accounting software, BEPOZ point of sale applications and the Microsoft Office suite.

• Excellent time management, communication, and organisational skills.

• Ability to demonstrate organisational aptitude and project management skills.

• Ability to use their initiative to identify, present and implement new processes and procedures which will add value to the operations.
