The Opportunity
We are seeking a Portfolio Administrator to join the team, working closely with the Portfolio Administration Team Leader. This role covers investment portfolio reconciliation, tax statement production, and reporting, while also supporting core wealth management systems. You will be a key point of contact for internal and external stakeholders, ensuring accuracy, compliance, and timely delivery of information.
Your Responsibilities
- Perform daily, monthly, and periodic reconciliation of client investment portfolios
- Investigate and resolve reconciliation breaks with registries, brokers, and fund managers
- Maintain client compliance documentation, including KYC, Wholesale Investor Certificates, W-8BEN, FATCA and CRS forms
- Update tax components and source annual tax statements from relevant parties
- Ensure accuracy and completeness of tax reporting before distribution
- Prepare and maintain data analysis, insights, and master investment reports
- Administer and provide subject matter expertise for Xplan, Client Portal, and TM1 data warehouse
- Support the investment recommendation mailout process and dealflow data entry
- Liaise with internal and external stakeholders to ensure smooth workflow and compliance
About You
- Bachelor’s degree in Business, Commerce or related discipline
- Minimum 2 years’ experience in investment administration, portfolio admin, or related roles
- Strong Excel, quantitative analysis, and attention to detail skills
- Excellent written and verbal communication
- Experience with wealth management systems (Xplan, CRM)
- Organised, adaptable, and able to manage multiple priorities in a boutique team environment
