Overview:
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team based in Kirrawee. In this dual-role, you will be responsible for coordinating and scheduling plumbing jobs, as well as handling invoicing administration. The successful candidate will ensure that plumbing jobs are scheduled efficiently and invoices are processed accurately. This role requires excellent communication skills, a high level of organisation, and the ability to work with both customers and internal teams to achieve the highest levels of customer satisfaction and operational efficiency.
Responsibilities:
Plumbing Job Scheduling:
Job Coordination: Coordinate and schedule plumbing jobs based on customer requests, technician availability, and job requirements.
Customer Communication: Communicate directly with customers to confirm appointments, gather necessary job details, and address any inquiries or concerns.
Technician Liaison: Assign plumbing jobs to technicians, provide instructions, and ensure timely completion of work.
Job Progress Monitoring: Track job status throughout the day and proactively resolve any scheduling conflicts or delays to ensure minimal disruption.
Record Maintenance: Maintain accurate records of job schedules, appointments, and customer interactions using scheduling software and databases.
Invoicing Administration:
Invoice Preparation: Generate and issue accurate invoices based on completed plumbing jobs, ensuring correct pricing and billing details.
Data Entry: Update customer records and ensure invoicing details are accurate in the company’s financial systems.
Payment Tracking: Monitor outstanding invoices and follow up with customers on overdue payments in a polite and professional manner.
Discrepancy Resolution: Address any invoicing issues or discrepancies, liaising with customers and the finance team to resolve matters promptly.
Reporting: Assist in generating invoicing and accounts receivable reports for management review.
General Administrative Support:
Customer Service: Handle general customer inquiries, including job scheduling and invoicing questions.
Administrative Tasks: Assist with general office duties such as answering phone calls, responding to emails, filing documents, and other ad hoc administrative tasks.
Requirements:
Experience: Proven experience in an administrative or coordination role, preferably with some experience in invoicing or scheduling. Previous experience in the trades industry is an advantage but not required.
Organisational Skills: Strong organisational and time management skills, with the ability to handle multiple tasks efficiently and prioritise accordingly.
Communication Skills: Excellent written and verbal communication skills, with the ability to liaise with customers and internal teams professionally and clearly.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using scheduling or invoicing software (e.g., Xero, QuickBooks, MYOB, or similar).
Detail-Oriented: High level of accuracy in managing job schedules and invoicing details.
Teamwork & Independence: Ability to work both independently with minimal supervision and collaboratively as part of a team.
Knowledge of Plumbing Terminology: Familiarity with basic plumbing terminology is an asset, but not required.
