Your New Role
As an Executive Assistant, you will provide high-level administrative support to an Assistant Secretary while working closely with other Executive Assistants within the division.
This role requires a proactive and organised individual who can work independently under general guidance. You'll be responsible for delivering efficient, professional, and approachable executive support. Your collaborative spirit and positive attitude will be essential to your success.
Key responsibilities include:
- Coordinating diaries and scheduling meetings, including preparing necessary briefings
- Handling incoming communications such as emails, briefs, letters, and meeting requests
- Planning and booking travel arrangements including flights, accommodation, visas, and allowances
- Managing and screening phone calls to ensure timely and appropriate responses
- Building and maintaining strong relationships with internal and external stakeholders
What You'll Need to Succeed
To thrive in this position, you should have prior experience as an Executive Assistant or in a similar administrative role, along with strong communication and coordination skills.
You'll also bring:
- A client-focused approach and the ability to build effective working relationships
- Excellent organisational skills with the ability to manage multiple priorities and deliver high-quality work
- Sound judgement, initiative, and professionalism when handling sensitive and confidential matters
- Proficiency in Microsoft Office tools including Word, Excel, Outlook, and PowerPoint
- A solid understanding of APS Values and the Code of Conduct
Applicants must be Australian citizens and capable of obtaining and maintaining a Federal Government Security Clearance (NV1, NV2, or TSPV).
