About the job

The Executive Assistant – Finance, People & Governance provides high-level administrative and executive support to three senior leaders: the Chief Financial Officer (CFO), Chief People Officer (CPO), and the Company Secretary. This role plays a vital part in enabling the effective operation of these Executive offices and supporting the broader work of the Finance, People & Governance functions.

Reporting to Manager, Office of the Executive Director you will:

  • Provide high-level secretariat support including preparation of Board and Committee papers, minute taking, meeting coordination, and record keeping.
  • Manage complex diaries for the CFO and CPO, including scheduling, responding to invitations, briefing on priorities, and coordinating event logistics.
  • Act as the first point of contact for internal and external stakeholders, maintaining strong professional relationships and supporting executive priorities.
  • Ensure smooth operations of the Offices of the CFO and CPO, including task tracking, issue resolution, and managing sensitive or urgent matters.
  • Deliver quality administrative support such as inbox management, document preparation, presentation formatting, and file organisation.

Skills and experience

The following criteria must be met for consideration for this position:

  • Experienced in supporting Boards and C-Suite executives, with strong skills in agenda preparation, minute-taking, and complex diary management.
  • Highly organised and proactive, with the ability to manage competing priorities, meet tight deadlines, and maintain strong administrative systems.
  • Excellent interpersonal and communication skills, with the ability to build rapport and collaborate with stakeholders at all levels.
  • Exercises sound judgment, discretion, and emotional intelligence when handling sensitive or confidential information.
  • Proficient in Microsoft Office and ICT systems; knowledge of the mental health, university, or health service sectors is desirable.

This is a full-time, 12-month contract with potential to extend.
