If so, we’d love to hear from you. We are looking for a highly motivated, detail-oriented, and proactive Business Assistant to support a senior executive in a dynamic and fast-moving team. This role is ideal for someone who excels at complex calendaring, strategic prioritization, and thrives in environments requiring sound judgment, confidentiality, and strong collaboration.

Responsibilities

  • Proactively manage a senior leader’s complex calendar, ensuring alignment with business priorities.
  • Provide end-to-end domestic and international travel planning and logistics. Prepare, submit, and track expense reports related to executive travel and meetings.
  • Develop and maintain strong working relationships with key business stakeholders and leaders across the organization. Build a deep understanding of the organization’s critical business priorities to help inform time-sensitive decisions.
  • Plan and execute staff meetings, offsites, and events, including agenda creation, materials preparation, logistics coordination, and follow-ups. Collaborate with the Chief of Staff, Lead EA, peer admins, and Business Operations team to drive organizational efficiency and rhythm of business.
  • Coordinate team morale activities, engagement events, and all-hands communications.
  • Manage confidential information with discretion, integrity, and professionalism. Represent the team and leadership with a high level of professional presence in all internal and external interactions.
  • Assist with space planning coordination in partnership with internal planning teams

Skills

  • Minimum 3+ years of experience in administrative, business support, or customer service roles, with a strong focus on calendar management, travel coordination, event/meeting planning, and executive-level support.
  • Proficiency with Microsoft Office productivity tools, including Outlook, Word, Excel, and PowerPoint, with working knowledge of OneNote, SharePoint, and Teams (or similar collaboration platforms).

Your Profile

  • Bachelor’s Degree in Business Administration, Communications, Human Resources, Psychology, or a related field — or equivalent practical experience. Demonstrated experience in managing administrative budgets, such as for travel, training, events, or team morale initiatives.
  • Experience acting as a mentor, team lead, or senior/executive assistant within an administrative function. Familiarity with internal enterprise tools and systems such as Employee Central/HeadTrax, Microsoft Expense Tool, Microsoft Travel, iCIMS, and MyOrder (a plus).
  • Strong interpersonal, organizational, planning, and time management skills. Proven ability to work independently with high attention to detail, comfort navigating ambiguity, and proactive problem-solving abilities.
  • Ability to thrive in a fast-paced, high-pressure environment, adapting to shifting priorities and last-minute requests with grace and professionalism. Exercises strong judgment, tact, diplomacy, discretion, and integrity in all professional interactions.
  • Ability to build and maintain effective relationships across diverse teams and stakeholders, both internally and externally.
  • Commitment to confidentiality and proper handling of sensitive information. Excellent written communication, analytical, and anticipatory thinking skills.
