About the role
Jewelex Australia Pty Ltd is seeking an enthusiastic and organised Office & Operations Administrator to join our team in Sydney. This is a full-time role supporting the smooth running of our office and operations. In this pivotal position, you will play a key role in ensuring the efficient and effective administration of our business.
What you'll be doing
Stock & Shipment Management
• Independently plan and manage weekly import and export shipments.
• Making invoices & approval notes for respective clients.
• Monitor and track all domestic and international shipments.
• Reconcile stock received and shipped after every shipment.
• Conduct bi-weekly inventory checks and maintain minimum stock levels, including coordination of periodic stock returns to the factory overseas.
• Prepare and communicate regular import shipment schedules to the factory and relevant team members.
Client Coordination & Order Processing
• Act as the primary contact for internal and external communications, including phone, email, and client inquiries.
• Respond to all client queries—including quotes, repairs, and orders—promptly (same day or latest by the next business day).
• Process orders with the factory & plan deliveries strictly as per client requirements, check the order details, and ensure sending a timely order confirmation to the client.
• Collaborate with cross-functional teams to address organisational and client requirements.
Repairs, Replacements & Remakes
• Investigate and analyse the causes for product repairs, replacements, and remakes, and communicate clearly with the factory for resolutions.
• Coordinate and prepare remake exports to the factory with complete documentation.
• Inspect replacements and remakes to ensure they meet client expectations before dispatch.
• Ensure timely delivery of all replacements and remakes to clients.
General Coordination & Office Administration
• Support general daily operations and lead the execution of tasks, ensuring timely and effective completion.
• Provide high-level administrative support including schedule management, meeting coordination, and preparation of reports and performance analyses.
• Organise and manage office procedures and administrative systems.
• Develop, refine, and implement policies and procedures to improve operational efficiency.
• Manage and develop vendor relationships.
What we're looking for
3-4 years of experience in an office administration or operations support role (prior experience within jewellery industry is preferred)
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
Results-driven with a commitment to task completion.
High attention to detail and accuracy.
Excellent verbal and written communication skills.
Strong problem-solving skills and proactive attitude.
Experience with office management software and tools
