We are a single practitioner specialist pain practice. We are looking for a highly organized and resourceful Medical Personal Assistant to support our medical specialist.
This position requires someone who is proactive, detail-oriented, and skilled in managing a variety of administrative tasks while also having a solid understanding of medical terminology and procedures.
The ideal candidate will provide both administrative and medical support to ensure smooth and efficient operations in a fast-paced environment. This is a FULL TIME role. We are a small team and are committed to providing an exceptional standard of care to our patients.
Key Responsibilities
Administrative Support:
· Calendar & Appointment Management: Coordinate and schedule appointments, meetings, and events for the healthcare professional. Ensure all appointments are confirmed and there are no scheduling conflicts.
· Patient Interaction**: Answer phone calls, emails, and other forms of communication with patients, addressing inquiries, scheduling appointments, and providing necessary information.
· Medical Documentation**: Assist in organizing and maintaining patient records (digital and paper), ensuring accurate and timely input of patient information, medical history, and visit details.
· File Management**: Manage medical files and ensure that all patient information is up to date and properly stored in accordance with confidentiality standards (HIPAA or similar).
· Billing and Insurance**: Process insurance claims, track patient billing, and assist with verifying insurance coverage and benefits
· Correspondence: Draft and send letters, emails, and other communications on behalf of the healthcare provider.
· Travel Arrangements**: Organize travel plans for medical conferences, meetings, or events, including flights, accommodations, and itineraries.
Medical Office and Patient Support
· Clinic Operations: Support clinic operations by ensuring all medical equipment, supplies, and resources are properly stocked and maintained.
· Patient Care Assistance: Support healthcare providers with patient exams, procedures, and preparation (e.g., taking vitals, preparing examination rooms, etc.).
· Medical Transcription: Transcribe notes, letters, and other medical documentation from the doctor, ensuring accuracy in medical terms and details.
· Liaising with Specialists: Coordinate referrals to specialists or other healthcare providers, ensuring seamless transitions for patients.
· Patient Education**: Provide patients with educational materials and instructions as directed by the healthcare provider.
· Follow-ups: Ensure proper follow-up with patients regarding lab results, ongoing treatment plans, or post-appointment care.
This is a mixed role with a combination of on site and working from home reception work.
**Candidate Profile:**
Experience in medical reception required
Must be willing to travel amongst various locations in the Inner East and South East locations
Highly organised and efficient
Ability to follow instructions and strictly adhere to the practice processes and protocols
Confident with figures and proficient in Microsoft Word and Excel.
Pleasant and confident telephone manner
Strong Interpersonal skills
Strong attention to detail
Ability to work independently
Multitasking and time management skills
