Melbourne Elevators are an elevator maintenance and modernisation company looking for an administration assistant to join our team. This is a support role that keeps everything ticking behind the scenes; phones, emails, quotes, schedules, and a bit of everything in between.
This role is ideal for someone early in their career, with between 2-4 years experience in a similar role. This role has room to grow into service coordination in the next couple of years for the right candidate as we continue to expand our business.
You’ll work closely with the Operations Manager, supporting our field staff and day-to-day operations. In time, you will need to understand basic lift terminology to support your role and our customers. You don’t need industry experience, just a willingness to learn.
Your day-to-day will include:
Office-Based 9-5pm, Monday-Friday
Answering and directing incoming calls
Exporting technical reports from Daylite CRM (Mac iOS)
Communicating directly with customers to coordinate bookings, services, and repairs
Processing orders, quotes, and invoices in Xero
Confirming deliveries and tracking job progress
Prepare and send basic repair quotes
Responding to general email enquiries
Manage incoming parts and allocations to jobs
Supporting the team with general administrative tasks
Management of Storeroom
We’re looking for someone who:
Has Strong knowledge of Melbourne suburbs; this is essential for scheduling and logistics components of the role.
Is looking for a long term position, our retention rate is high; our people stay for good.
Has 2-4 years’ experience in an administration or coordination position.
Is comfortable using Mac (iOS) systems; we’re an Apple-based office.
Has a high degree of proficiency with Microsoft Office 365 applications including Excel and Outlook is essential.
A reliable and enthusiastic work ethic.
Has knowledge of Xero Accounting software.
Has full Australian work rights.
Reliable Transport and driver’s license.
