Reporting to the Executive Officer (EO) the Membership & Administration Coordinator is responsible for ensuring administrative operations related to ANZAOMS members, member communications and events (including the annual scientific meeting attended by over 250 members and trade and branch events) are fulfilled in a way that delivers value for members and contributes to the positive image of ANZAOMS and OMS generally. The role may also entail some project coordination and secretariat support to Board subcommittees, on an as needs basis.

The Membership & Administration Coordinator will also provide confidential administrative support for the EO to enable ANZAOMS to be as productive, efficient, and responsive to member needs as possible.

Key Accountabilities:

Ensure that membership processes are completed in a way that is timely, accurate, efficient, and responsive to member needs.

Assist EO with the Member communications strategy including assisting in developing communication pieces such as newsletters, member eblasts, presentations and social media posts.

Make timely, routine and ad hoc, updates to the website to ensure currency of information presented. This includes managing the events page listings, news items and other updates as required.

Support the EO in the planning, organising and delivery of ANZAOMS's webinars, branch events and other events and meetings that may arise. This may require interstate or international travel to NZ, as required.

Fulfill administrative duties to support effective and efficient operations including administrative support for the EO as required.

Contribute to the positive image of the organization and the specialty of OMS.

Use the most effective and efficient method to fulfill job responsibilities and continue to improve the quality of same.

The successful candidate will have:

Post-secondary education with a minimum of 2 years' experience in communications, business processes and/or office management.

Relevant experience that demonstrates capacity to fulfill job accountabilities, ideally in the health field.

Proficiency in MS Office Suite in particular Word, Excel, Outlook, and PowerPoint.

Ability to learn and use multiple other software programs and web-based tools, including member databases.

Exceptional organization skills and ability to handle multiple projects and workstreams. Excellent judgment in setting priorities, identifying issues, and determining action required.

Customer service and interpersonal skills, including the proven ability to establish and maintain effective working relationships with members, Board, staff at all levels, external suppliers, etc.

Strong written and verbal communications skills in English, responding to enquiries, drafting Association correspondence and writing brief reports.

Must have the right to work in Australia.
