The Opportunity
This role is ideal for a career client service professional or practice manager who thrives in a dynamic boutique setting. You will be integral to the day-to-day success of the practice—managing the client service function, coordinating with outsourced paraplanning and administration support, and maintaining the highest standards in client engagement and service delivery.
Reporting directly to the Principal Adviser, you will ensure a seamless client experience from onboarding to review and implementation, while also overseeing general office operations and supporting continuous improvement initiatives.
Key Responsibilities
- Manage the full client service lifecycle: onboarding, implementation, reviews, follow-ups, and ongoing support
- Coordinate adviser workflows, prepare documentation, and support the delivery of strategic advice
- Liaise with offshore administration and paraplanning teams to ensure timely, accurate task execution
- Oversee internal office processes, systems maintenance, and digital workflow adherence
- Participate in client meetings where appropriate and manage meeting preparation and follow-up
- Proactively identify opportunities to streamline systems and improve operational efficiency
- Maintain strong client relationships through professional, responsive communication
- Utilise systems including Xplan, DocuSign, Dash, and a white-labelled investment platform
Candidate Profile
- 2–5+ years' experience in a client services, office management, or practice management role within financial planning
- Proficient in using financial advice platforms (Xplan essential) and digital workflow tools
- Highly organised with strong attention to detail and a commitment to service excellence
- Comfortable working in a fast-paced environment alongside senior professionals
- Strong interpersonal and communication skills; able to liaise confidently with clients and stakeholders
- Self-driven, reliable, and capable of managing competing priorities independently
- A genuine interest in remaining in a client service or operations-focused position long-term
