About the role

The National Facilities Administrator plays an enabling role within the Facilities Team. The primary responsibility is to manage the administrative facilities functions nationally, including contract and service management, invoicing, processes and procedures and assisting with local and national property projects. This role will also support the day-to-day facilities activities and services within the Adelaide office premises.

Location

Adelaide, SA – this role is required to be onsite, 5 days per week

In this role you will:

Facilities Support & Team Coordination: Assist in managing national facilities projects, team meetings, updates, and support across locations, especially Adelaide.

Sustainability Reporting: Collect data for Climate Active certification, support sustainability action plans, and coordinate committee meetings.

Invoice & Software Management: Code and process invoices, and help manage Rapid Global software for contractors, inductions, and maintenance.

Office & Contractor Support: Support staff onboarding, security access, digital signage, reception, relocations, and general office functions.

Records Management: Maintain electronic and hard copy records, manage archiving and retention processes in line with policy.

WHSE & Security: Review WHSE procedures, manage CCTV/security, support inductions, and undertake emergency warden responsibilities.

Here’s what we’re looking for:

You have the ability to organise tasks, prioritize work efficiently, and maintain a well-structured office environment. You also have the capability to identify issues, find solutions, and address challenges proactively to ensure smooth office operations.

You possess strong verbal and written communication skills and are able to interact effectively and efficiently and with employees, vendors, and contractors.

You are proficient in the Microsoft suite of products and have excellent organisational skills and the ability to manage competing tasks and priorities effectively unsupervised.

A high level of attention to detail. Flexibility and the ability to work well under pressure with previous experience in administration.

Efficient time management skills to handle multiple tasks and meet deadlines without compromising quality.
