Your part in St Andrew’s War Memorial

The St Andrew’s Risk and Quality team provides support to the hospital Executive in monitoring and managing risk and quality; implementing and monitoring the Quality Management System; and ultimately maintaining certification against the requirements of the National Safety and Quality Health Service Standards. The purpose of this position is to provide high level professional administrative support to the Risk and Quality Team.

Support the efficient and effective operation of the Risk and Quality team by:

Provide first point of contact for telephone and email enquiries for the Risk and Quality team.

Triage and prioritise telephone calls and enquiries to the Risk and Quality Department and action as appropriate, including the acknowledgement of feedback when required.

Assist with calendars, appointments and room bookings required by the Risk and Quality Team

Coordinate and provide administrative support for hospital meetings and committees including meeting coordination, minutes and agenda and paper preparation and distribution.

Coordinate and provide administrative support for CRAFT Groups meetings including meeting coordination, minutes and agenda and paper preparation and distribution.

Attend CRAFT Group meetings outside of business hours as required.

Administration support for publishing of documents, document control, archiving and coordination of management requirements.

Administrative support for the Incident Management System access and local inquiries regarding password access, profile changes and reporting hierarchy.

Administrative support for the Policy Management System including publishing of documents; access and local inquiries regarding password access; profile changes and reporting hierarchy.

Responsible for accurate filing of correspondence and documentation on insurance and investigation files in accordance with relevant file management procedures.

Administrative support and assistance for coordination of Short Notice Assessment Accreditation reviews and other internal audit and external regulatory reviews.

Handling and distributing incoming and outgoing mail as required.

Monitor, maintain and ordering of office stationary supplies.

Administrative support and maintenance of specified and approved registers and records.

Administration support for Risk and Quality Team projects.

What makes a difference for us?

Previous administrative experience, ideally this will include experience in the health industry.

A flexible and adaptable approach with the ability to self-motivate in an autonomous role.

High level of interpersonal, written and oral communication skills incorporating the abilities to demonstrate tact, integrity and confidentiality.

Expert computer skills, including accurate typing skills of 80wpm.

High level of initiative and negotiating skills to resolve issues in the day-to-day work environment.

Ability to foster harmonious work relationships and work as an effective team member.

Maintain a high level of discretion and confidentiality.

Excellent administrative skills with accuracy and attention to detail.

Ability to meet deadlines and establish work priorities.

Ability to understand the sensitive nature of the hospital environment and apply diplomacy and act accordingly.

Effective time management skills.

Able to demonstrate a friendly and professional manner in the workplace.
