AFX Australia Pty Ltd is a fast-growing refrigerated transport company providing temperature-controlled logistics solutions across New South Wales. With a strong focus on consistency and care, we deliver temperature-controlled transport services trusted by businesses across the food industry.

We are currently seeking a reliable and detail-oriented Contract Administrator to join our operations team. This role is essential to ensuring that all contractual agreements with clients, subcontractors, suppliers and service providers are properly documented, managed, and monitored.

You will work directly with the company’s director to manage and oversee all contractual matters related to service delivery, subcontractors, and clients. As the dedicated Contract Administrator, you will play a critical role in supporting day-to-day operations and maintaining long-term relationships with our clients and partners.

As part of a lean and efficient team, you will have full visibility over the company’s contractual landscape and contribute directly to operational decisions.

Key Responsibilities:

Prepare, review and manage contracts and service agreements with clients, subcontractors and suppliers across refrigerated freight operations

Negotiate terms and variations related to delivery schedules, rates, compliance requirements and service scopes

Monitor the execution of contracts to ensure timely delivery, service quality and compliance with agreed conditions

Administer contract changes, extensions and renewals in alignment with operational needs and business priorities

Respond to contract-related enquiries from clients and partners, resolving issues related to billing, service terms or delivery expectations

Track key contractual milestones, including delivery KPIs, pricing adjustments and service-level obligations

Ensure documentation such as insurance, compliance records, licensing and certifications remain current and accessible

Maintain accurate internal records of active and completed contracts, and produce periodic reports for management review

Support compliance audits and internal reviews by preparing and managing contract documentation

Identify gaps or inefficiencies in current contract practices and recommend improvements aligned with operational realities in refrigerated transport

Requirements:

Bachelor’s degree in Business, Logistics, Engineering or related field

At least 3 years’ experience in contract administration, preferably in the transport or logistics sectors

Strong knowledge of commercial agreements and risk management principles

Understanding of logistics operations and service delivery frameworks

Excellent attention to detail and organisational skills

Strong written and verbal communication skills

Ability to work under pressure in a fast-paced environment

Familiarity with WHS compliance and transport industry regulations is a plus

Proficiency with Microsoft Office and basic contract/document management systems
