About the Role

We’re looking for a proactive and professional Reception & Office Services Coordinator to join our Shared Services team. This role is central to ensuring our firm runs smoothly, combining front desk responsibilities with broader office and administrative support.

Your duties will include:

Reception & Front Desk

Greet and assist visitors, clients, and staff with warmth and professionalism

Manage incoming calls, emails, and general enquiries

Keep the front desk area tidy and presentable

Handle mail, deliveries, and courier bookings

Maintain visitor logs, issue passes, and update security registers

Perform end-of-day procedures

Office Coordination

Monitor and order office, catering, and kitchen supplies

Provide hospitality and maintain kitchen areas

Coordinate meeting room bookings and assist with setup

Support internal seminars and events

Maintain and troubleshoot office equipment

Administrative Support

Assist teams with general admin tasks

Support data entry, record keeping, archiving, and document management

Maintain filing systems and shared drives in line with records protocols

Special Projects

Collaborate with the Administrative Manager and People & Culture team on special projects and operational initiatives

About you

We are looking for a candidate with enthusiasm and confidence delivering professional customer service in a front of house role. With a 'can-do' attitude and exceptional organisational skills, you will be prepared to work closely within our Shared Services team.

You must have:

A passion for customer service

Intermediate computer skills (Microsoft Office)

Exceptional communication, organisational and time management skills

High level attention to detail
