Are you an organized, friendly individual with a passion for providing excellent customer service? Capo & Co is seeking a Full-time Receptionist to join our dynamic team. As the first point of contact for our clients, you will play a crucial role in creating a welcoming atmosphere and ensuring smooth operations within our office.
KEY RESPONSIBILITIES:
Client Interaction: Greet clients upon arrival, assist with enquiries (excluding accounting and tax matters), and facilitate appointments while keeping our Directors and team informed.
Phone Management: Answer and manage multiple incoming calls, directing them to the appropriate team member while maintaining a confident phone manner.
Database Administration: Assist with the management of our client database systems (XPM/FYI) and ATO Portal, including the addition of new clients and updates for current ones.
Workflow Support: Help with the initial workflow process, preparing job setups, service request forms, and providing necessary files to accountants prior to client meetings.
Correspondence Handling: Manage mail operations, including scanning, distributing, and organizing outgoing mail and courier services as needed.
Reception and Kitchen Maintenance: Ensure the reception area and kitchen are always tidy, prepare coffee for clients, manage kitchen supplies, and maintain coffee machine operations.
ATTRIBUTES OF IDEAL CANDIDATE:
Excellent communication skills and patience
Proficiency in Microsoft Office applications
Strong organizational skills and efficiency
A friendly demeanor with exceptional customer service skills
The ability to work under pressure while being reliable and honest
WORKING HOURS AND RENUMERATION:
This position requires availability from 8:30 AM to 5:00 PM, Monday to Friday.
Remuneration may be negotiated based on experience.
