MBL Food Service is a market leader in custom blending, food ingredients and formulations, packaging solutions, and the supply of specialised food processing equipment.
We are currently seeking an experienced and motivated Accounts Receivable / Administration Officer to join our finance team on a Permanent Part time basis approx. 30 hours per week. This role is based at our Athol Park site
Key Responsibilities:
Accounts Payable
Monitor and manage the Accounts Payable inbox, printing and matching supplier invoices with Goods Received (GR)
Reconcile and process supplier invoices for payment
Respond to supplier queries and request copies of outstanding invoices
Process invoices as required
Investigate and organise credits for invoice discrepancies
Assess and resolve variances between invoices and purchase orders
Process international supplier invoices and apply payments
Prepare and complete weekly and month-end payment runs
File all paid invoices and payment reports; maintain and archive historical records
Check and reconcile monthly supplier statements
Administration
Code and reconcile customer payments from bank statements
Post General Ledger entries from bank activity
Balance daily cash and card sales; prepare cheque payments and deposit slips
Count cash, organise and maintain the daily showroom float, and manage cash flow availability
Assist with daily banking and courier runs (shared responsibility with admin team)
Scan and file bank statements and other finance documents
Perform electronic filing for new accounts and machinery documentation
Archive showroom receipts
Dispense and reconcile petty cash; organise petty cash cheques as needed
Coordinate mail-outs, including MBL Magazine distribution
Manage transfer of codes for new members and notify relevant internal teams (e.g., Marketing, Sales, By-Products)
Carry out other administration tasks as directed by the Manager or Supervisor
About You:
Proven experience in Accounts Payable and/or Administration role
Strong attention to detail and excellent time management
Sound understanding of financial processes and reconciliation
Strong computer literacy, especially with Microsoft Excel
Experience with Pronto or similar ERP systems (highly desirable)
Ability to work both independently and collaboratively
Pre-employment medical including drug and alcohol testing will be required.
